Your files

Downloads from your past orders are listed here, each linked to the exact file generated from the recipe and options you chose at checkout.

If a link has expired or you need a file regenerated, use the contact page and reference your order.

Looking for the free tool instead? It is on the Cake Pricing Calculator page, no order needed.

What each file contains

Downloads are generated at checkout from the recipe and options you entered, so two customers who buy the same product get two different files. The Pricing Workbook arrives as an xlsx with your recipes already loaded into the recipe sheet. The Order Quote Kit arrives as a two page PDF per order, quote page and invoice page, with your business details in the header. The Starter Bundle includes both plus the sample recipe pack.

Opening the workbook

The xlsx opens in Excel, LibreOffice Calc and Google Sheets. In Google Sheets, use File then Import and choose to replace the spreadsheet rather than opening a preview, so the formulas come across live. Nothing in the file connects to the internet: there is no add-in to install, no licence check and no expiry, which also means a file you keep on a backup drive still works years later.

Regenerating a file

Ingredient prices move, and a workbook priced at last year's butter cost quietly understates every cake. You can edit the numbers yourself in the sheet at any time, and for the Order Quote Kit you can request a regenerated PDF from the contact page at no extra cost, quoting the email address used at checkout.

If a download will not start

Downloads are served directly from this site with no login step, so a failure is usually a browser extension blocking the request or a corporate network filtering xlsx attachments. Try a different browser first, then a different network. If both fail, write from the contact page with the email address used at checkout and the file is sent another way.

Keeping your own backup

Files stay downloadable here, but the workbook you edit is the one on your machine: it holds your recipes and your rates, and nothing on this site keeps a copy. Back it up wherever your other business records live, and save a dated copy before a large repricing so you can compare last season's numbers with this one.

Detailed procedure for using a downloaded file

Start by downloading the file to a local folder, not directly into an email attachment viewer or browser preview. Use a folder name that includes the order month, for example 2026 09 bakery files, so later searches do not depend on the product name alone.

Before you type into a workbook, make a working copy and leave the first download unchanged. A practical pattern is one original file, one current working file, and one dated backup after each major price update. Allow 5 to 10 minutes for the first save and import, then another 15 to 30 minutes if you are checking ingredient costs line by line.

  • Download the file to your computer or cloud drive.
  • Rename the working copy with a date, for example pricing workbook 2026 09 24.xlsx.
  • Open the working copy in your spreadsheet app.
  • Check that the recipe names, quantities, and rates are visible before editing.
  • Save once before changing prices, then save again after the first group of edits.
  • Export or print only after checking one complete recipe from ingredient cost through final selling price.

For a PDF quote or invoice, open the file in a normal PDF reader rather than inside a browser tab when possible. Browser viewers are useful for a quick look, but a desktop reader gives clearer control over page size, scaling, and printer selection.

Equipment, page sizes, and working dimensions

A laptop or desktop screen makes the workbook easier to audit than a phone. A 13 inch screen is workable, but a 15 inch screen or a second monitor reduces horizontal scrolling when you are comparing ingredient columns, labor entries, and totals. If you must use a tablet, attach a keyboard before doing long edits, because spreadsheet cell entry is slow on touch screens.

For printed PDFs, use plain white paper and print one test copy before giving the document to a customer. The common page sizes are A4, 210 by 297 mm, and US Letter, 8.5 by 11 inches. Print at 100 percent scale for a true page preview. If your printer clips the top or bottom, switch to fit to printable area for that printer only, then check that the final text remains readable.

TaskUseful figureWhy it matters
First download and save5 to 10 minutesLeaves time to rename the file and confirm it opens before you need it for a customer.
Seasonal ingredient review30 to 60 minutesEnough time to update core items such as butter, flour, sugar, chocolate, boxes, boards, and utilities.
Printed PDF check1 test page before a customer copyCatches scaling, paper size, and printer margin problems.
Backup rhythmAt least 3 copiesKeep the original, the current working copy, and one dated backup outside the working folder.
Screen size for editing13 inches minimum, 15 inches easierReduces mistakes caused by hidden columns or constant side scrolling.

Frequent mistakes and how to recover

The most common file problem is not a broken file, but opening it in the wrong place. Email previews, browser previews, and phone viewers often hide spreadsheet formulas, block editing, or show only a simplified display. If a number looks frozen, close the preview and open the saved file from the spreadsheet app itself.

  • The file opens read only: save a copy into your own folder, close the original, then open the copy. If it is still read only, check whether it is stored in a synced folder that has not finished uploading.
  • Google Sheets shows a preview instead of editable cells: import the xlsx into an existing spreadsheet or a new spreadsheet, then confirm that formula cells recalculate after one test edit.
  • A formula was overwritten: close without saving if you notice immediately. If you already saved, return to the untouched original download and copy the damaged section back into the working file.
  • The wrong ingredient unit was edited: restore the previous value from your dated backup, then enter the new price only after confirming whether the price is per gram, ounce, kilogram, pound, item, or batch.
  • The PDF prints too small: check the print dialog for scale settings. Use 100 percent first, then fit to printable area only if the printer clips the page edge.
  • You cannot find the latest copy: sort the folder by modified date, open the newest file, and save it under a clearer name before doing any more edits.

If a download issue continues after trying another browser and network, gather the order email address, order date, and the file type before asking for help. For general account and order questions, check the FAQ before sending duplicate requests.

Special cases for real bakery workflows

If more than one person edits pricing, appoint one current master file. Two people editing separate copies for a week can create conflicting ingredient costs that are hard to reconcile. A simple rule is that only one person changes prices, while others send notes with supplier names, pack sizes, and receipt dates.

If you price from a shared kitchen, separate your edible ingredients from space related costs. Rent, storage, utilities, and cleaning time may change monthly, while flour or sugar may change by supplier invoice. Review shared kitchen charges at least once per month, and review stable dry goods when you receive a new invoice or open a new supplier account.

If you use both a workbook and a PDF quote in the same job, finish the workbook check first. The quote should reflect the final recipe cost, labor time, delivery charge, and deposit rule you actually intend to use. Do not correct customer documents by hand after printing unless you also update the saved version, because the next reprint may bring back the old number.

If you work across two computers, store the current file in one synced folder and wait for the sync status to finish before opening it on the second machine. A safe handoff takes about 1 to 2 minutes on a normal connection, longer if the device has been offline. Never keep two copies open at once during a pricing update.
